Zapier AI: Free Limits, Task Costs & Alternatives

Choose Zapier when the apps and actions in your workflow are supported and you want a managed automation platform. Start with the actual job: collect an input, process it, and send a reviewed result to the right destination. Before paying, distinguish platform access from AI-step access and estimate usage.

What is free, and what needs a paid plan?

Zapier advertises connections across 9,000+ apps. Its Free plan has 100 monthly tasks and two-step Zaps; Professional supports multi-step workflows. Agents and Chatbots appear as separate add-ons. Select the task allowance and billing cadence on the official pricing page before comparing the final quote.

AI by Zapier has a separate access boundary: Free users can preview an unpublished AI step, but need a paid plan to publish it. The official model-tier documentation lists Professional, Team, and Enterprise for published use.

Why one AI step may consume several tasks

AI by Zapier applies Standard, Advanced, and Premium rates of 1x, 3x, and 5x. Successful tool calls also consume tasks at that rate; new paid-plan steps default to Premium. Check the tier rather than assuming one AI run equals one task.

This is a documentation-based illustration, not a measured customer workflow or a complete Zap total. Other billable steps can add usage. See the official calculation and limits.

Choose by the workflow you can actually run

Shortlist Zapier

Check your exact trigger and action, not just whether an app logo appears in the catalog. A supported app can still lack the field or operation your process needs.

Compare Make

Consider its visual scenarios when reviewing branches and data movement. Use our Make guide to check credits and plan limits before estimating a comparable workflow.

Compare n8n

Consider hosting choice and customization. Our n8n guide separates Cloud access from the maintenance responsibilities of self-hosting.

Skip another platform

If a native app rule already performs the job reliably, adding AI and a second automation layer may introduce review work without solving a new problem.

A practical first pilot

Suggested pilot: take a sample enquiry, draft a short category label, and save it to a test sheet for human review. Avoid automatic customer replies during evaluation.

  1. Try a clear input, an ambiguous input, and a record with a missing field.
  2. Check the classification and confirm exactly what reaches the destination.
  3. Replay a sample and inspect whether it creates a duplicate.
  4. Record tasks used and manual corrections before increasing volume.

The useful outcome is a dependable handoff at an acceptable cost. We have not run this pilot, measured time savings, or compared failure rates.

Frequently asked questions

Is Zapier AI free?

The Free platform plan includes 100 tasks per month. AI by Zapier can be previewed in an unpublished Zap on Free; publishing that AI step requires a paid plan. Do not treat free platform access as unrestricted AI automation.

How many tasks does an AI step use?

AI by Zapier uses model tiers with 1x, 3x, or 5x task rates. Tool calls add usage at the selected rate. Check the model tier before publishing and inspect actual usage after a small pilot.

Should I choose Zapier, Make, or n8n?

Compare the exact apps, actions, and operating responsibilities your workflow needs. Try Make for its visual scenario approach or n8n when hosting choice matters. We have not benchmarked these products or established a universal cost winner.
